Manage project access across many projects and users at once

How workspace owners and admins use Workspace Access settings to see every person against every project and change any grant in place.

Written by Jona Smulders Cohen

Settings > Access puts every person in your workspace against every project on one screen, so you can see who can reach what and change any of it in place. It replaces opening each project's own panel one at a time.

Only workspace owners and admins can open it.

Open the access matrix

  1. Go to Settings.

  2. Under Workspace, click Access.

Read the grid

People run down the left. Projects run across the top. Each cell holds one person's access to one project, and says which of three things it is:

  • No access: the person cannot open the project.

  • View: they can view documents and shared conversations, and cannot change anything.

  • Edit: they can upload documents, start conversations, and run workflows.

Change someone's access

  1. Find the person's row and the project's column.

  2. Click the cell.

  3. Pick No access, View, or Edit.

Your change saves as soon as you pick it. There is no separate save step.

What you cannot change here

  • Owner. A cell showing Owner is the person who created the project. You cannot change it from this screen or from the project's own panel.

Find the row you want

A wide workspace makes for a wide grid, so three controls narrow it:

  • Search people filters the rows by name or email.

  • The tabs above the grid show All people, only those with No access to anything, or only those who are Invited and have not accepted yet.

  • Choose projects picks which projects appear as columns. Use it to compare a handful of live deals side by side.

People who have not accepted yet

You can grant project access to someone whose workspace invitation is still open. Once they accept, project access you have configured takes effect.

Being an admin does not give you the documents

A workspace owner or admin administers every project in the workspace, which is what lets you change any cell on this screen. It does not let you read the documents inside those projects.

Access to a project's documents comes from the cells, the same as it does for everyone else. If you want to work in a project as well as administer it, give yourself View or Edit in your own row.
